Medical billing services for small practices

Outsourced medical billing for independent practices. We prepare, check and submit your claims, follow up on the open ones, and tell you what's still out and why.

It's free, and you can keep your current biller

A filled in sample insurance claim form. Box 17, the referring provider, is empty, highlighted and circled in pen, and a sticky note says that is the reason for a CO-16 denial.

Where billing goes wrong in a small office

A new hire keys in the member ID from last year's card, or a provider starts seeing a plan's patients a month before enrollment clears. Neither is hard to fix on the day it happens, but nobody's looking that day, and by the time the claim comes back the filing window may be nearly shut.

Billing also tends to land on whoever has time left at five o'clock. When that person takes a week off, claims sit, and you don't feel it until the deposits come up short a few weeks later.

What full service billing includes

  • Claim preparation and scrubbingWe check each claim against the payer's rules before it goes out. If something's unclear, say a diagnosis that doesn't seem to fit the visit, we hold the claim and ask.
  • Submission and rejection handlingClaims go out through your existing clearinghouse connection where possible. When one gets rejected, we sort it by cause and reopen it.
  • Claim status monitoringWe check open claims on a schedule, because a payer won't call you when a claim has stalled.
  • Payment postingInsurance and patient payments get posted and reconciled against what you should have received.
  • A monthly reportIt shows collections, denials and open A/R, along with what we're doing about them.

How it runs

  1. 1

    Start with an audit

We go through your denials and aged A/R first, since that's where the closest deadlines tend to be.

  2. 2

    Get access set up

We sign a BAA, then your practice gives us named user accounts in your EHR with the right permissions.

  3. 3

    Move the daily work over

New claims, follow up and posting come over to us, and you get a named contact for questions.

How this is priced

Full service billing is 3 to 5% of the payments your practice receives on the claims we manage, with a $500 monthly minimum. There's no setup fee, and it's month to month with 30 days' notice.

Medical billing questions

What people ask about this

Do we have to change our EHR or practice management system?

No. We log in to what you already have. We have experience with Epic, athenahealth, eClinicalWorks and AdvancedMD, and if you're on something else, ask us.

Who owns the money and the data?

You do. Insurance payments keep going to your practice account, and the data stays yours. We work under a Business Associate Agreement, with only the access you've authorized.

Can you pick up claims my current biller left behind?

Yes. We review open claims during onboarding. Older balances go under A/R recovery, which we scope separately so you can see what it covers before you agree to it.

What do you need from our staff each week?

Accurate charges, mostly, and quick answers when we have a question. Our questions will name the claim and what's missing, along with the date we need it by.
